Abstract:

This research focuses on the design and implementation of a staff attendance system utilizing fingerprint biometrics, with the Federal University of Technology, Minna as the case study. In traditional attendance systems, the manual process of signing in and out is fraught with challenges, including impersonation, inaccuracies, and inefficiencies in data collation. This study addresses these issues by developing an automated biometric system leveraging the unique and immutable characteristics of fingerprints for accurate identification and attendance tracking. The study’s aim is to design, implement, and test a fingerprint-based attendance system that minimizes errors, enhances credibility, and improves efficiency in attendance management. The proposed system ensures that staff attendance records are secure, precise, and easily retrievable, providing benefits to both staff and administrative personnel. Notifications and reminders are integrated into the system via SMS and email, enhancing user awareness and participation. This work is significant as it eliminates traditional errors associated with manual systems, such as forgery and duplication, while reducing administrative burdens in record management. Limitations include the absence of a centralized database, requiring staff to be enrolled at their specific units, and the lack of integrated features like video conferencing. This project offers a solution to attendance management challenges, ensuring professionalism, accountability, and seamless operations in institutional settings.

CHAPTER ONE

   INTRODUCTION

  1. Background to the Study

            Punctuality as Thomas Chandler Haliburton(1796 – 1865) said, is the soul of business. Any institution will require its staff to be punctual for it to be a success. Punctuality as a function of time with respect to date is a very essential requirement in every setup, be it small scale or large organization/institution, of which Federal University of Technology, Minna is no exception (Shoewu and Idowu, 2012).

            The level of impersonation as well as the ghost worker syndrome in recent times is enormous, in both the private and the public sector, Akinduyite, Adetunmbi, Olabode, and Ibidunmoye (2013). Therefore, there is need for a new system which will wipe out all this enumerated issues. The human body has the privilege of having features that are unique and exclusive to each individual. This exclusiveness and unique characteristic has led to the field of biometrics and its application in ensuring security in various fields. Biometrics has gained popularity and has proved itself to be a reliable mode of ensuring privacy, maintaining security and identifying individuals. Today, the technology is being spotlighted as the authentication method because of the need for reliable security (Arulogun et al, 2013).

            A system insusceptible to impersonation, that provide dependable and efficient means of taking staff attendance record with the use biometrics captures to provide perpetrators with the uniqueness of biometrics will help organization/institution keep good and accurate record of their staff punctuality.

1.2 Motivation of Study

Punctuality is a key attribute of professionalism. This project is inspired by the need to enhance and uphold professionalism within organizations and institutions by addressing attendance management challenges.

1.3 Statement of Problem

Traditional methods of staff attendance tracking, such as signing in and out using a register, are prone to errors and manipulation. These methods allow impersonation and enable staff to falsify attendance records by entering earlier times than when they arrived. This lack of accuracy and accountability undermines organizational efficiency and creates gaps in maintaining reliable attendance data.

1.4 Aim and Objectives of Study

The primary aim of this project is to develop a staff attendance system using fingerprint biometrics. The specific objectives are:

  1. To design a staff attendance system using fingerprint biometrics.
  2. To implement the designed system effectively.
  3. To test the functionality and reliability of the implemented staff attendance system.

1.5 Scope and Limitation of Study

This project is focused on creating a fingerprint biometric-based attendance system for the Federal University of Technology, Minna, to simplify attendance tracking and promote professionalism. However, the proposed system has limitations:

  • It does not include a centralized database, meaning staff enrollment will occur at their respective work units.
  • For transferred staff, their details must either be manually copied to the new unit’s database or re-enrolled before they can use the system.

1.6 Significance of Study

The implementation of a biometric staff attendance system addresses the inaccuracies and inefficiencies of manual record-keeping. Manual methods, such as staff writing down their names, often lead to errors, impersonation, and illegibility, complicating the compilation of attendance records.

This system significantly benefits attendance administrators by eliminating the labor-intensive task of handling multiple sheets of paper. It reduces the time required to calculate attendance percentages at the end of the month and minimizes errors associated with manual collation. Successful deployment of this project ensures that attendance records are credible, accurate, and easily verifiable at any time. This enhances the overall efficiency and transparency of attendance management within the organization
